How to Use iAnnotate and an iPad for Document Reviews

iAnnotate cuts down editing time and DocuSign allows use of electronic signatures

In a law firm, the editing drill is not only a drag but also a productivity drain. Traditionally lawyers dictate and legal assistants transcribe and then return a document to the lawyer for review.
In another variation, associates draft pleadings and submit them to the partner for review. The documents to be reviewed are placed on the partner’s desk, where they often sit in an ever-growing pile, waiting for the attorney to actually be in the office, out of a meeting and focused on paperwork. The document is marked up by the lawyer, handed back to the assistant or associate and eventually returned to the lawyer’s desk for another round of reviews.
iPad document signed with DocuSignIt is not uncommon it to take days or even a week before a document is ready to be sent out. Though software such as Dragon Naturally Speaking or Dragon Naturally Speaking’s Legal Version can dramatically reduce the time needed to bring a document into existence, the use of voice recognition software doesn’t circumvent the final review most lawyers insist on before a document leaves the office.
So even though they can’t automate the final review, some lawyers are using iAnnotate on their iPads to dramatically reduce the amount of time required for the review-and-revision process. In our ongoing series examining how one rural Indiana attorney has been using technology to streamline his practice, Lawyer Tech Review talks to Hunter Reece about this approach, which, he says, is working for him.

Mark Up PDFs with iAnnotate

The app, developed by Aji LLC and selling for $9.99, allows the user to highlight, underline, write text notes, bookmark, draw and even stamp a document. Once annotated, a PDF can be transmitted to others by way of several routes, including email, a cloud computing solution such as Dropbox, iTunes sync or Safari.
Using iAnnotate, Reece has been able to reduce the time it takes him to review documents – as well as the amount of paper he uses in the process. When a document is ready for review, it is emailed to him instead being printed out as a hard copy. (Reece is also experimenting with Dropbox and other cloud computing options as an alternative to email.)
iAnnotate documents managementWhen there’s a lull during court, Reece says, or “when there’s a slow spot during a conference, I open the document in my iPad and make changes, using iAnnotate.”
When he’s finished, he emails the document back to his staff, who quickly make the requested changes and return the revised document to him for a final review.

Finalize Document with an Electronic Signature

iAnnotate signatureAnother advance in the evolution of Reece’s practice is the use of electronic signatures.
DocuSign iPad appDocuSign allows users to send, sign, track and store documents. The company offers a 14-day free trial of its desktop edition; monthly packages start at $19.99 per month. DocuSign has mobile apps for use with the iPad, iPhone, BlackBerry, Android and Windows Mobile. (Clickable affiliate link.) The app is free but must be used with an existing DocuSign account.
Reece explains, “I just started using DocuSign to put a signature on document, so now once I approve a letter on my iPad I can add the electronic signature and it gets sent out.”

Tips About How To Use Dragon Dictation for iPhone App

This speech-recognition app is an indispensable free tool for emailing, texting and even basic memo drafting

For some, answering emails and responding to text messages from an iPhone can be cumbersome and bit frustrating. I fall into that category: Holding my iPhone in landscape mode and using my thumbs just doesn’t seem natural. I often hit the wrong key and end up with an autocorrect disaster.
Using my iPhone upright means that I have to peck out messages with an index finger. I’m a fast typist, so doing things this way seems like shoveling snow off a driveway after a blizzard … with a spoon.
But email and texting are, by far, my preferred means of communication. In the article “How an Apple iPad Keyboard and an iPhone Made for One Happy (and Mobile) Lawyer,” we explained how an iPhone could be docked into an iPad keyboard to enable the user to respond to emails and take notes.
In this Lawyer Tech Review post, we highlight the Dragon Dictation 2.0 iPhone mobile app. (Clickable affiliate link.) The speech-recognition app is versatile, surprisingly accurate — and free.
It is my new favorite productivity tool.
I will explain some of the basic features of Dragon Dictation for the iPhone, share punctuation basics and explain how to pause and add information to create longer texts.

Dragon Dictation for the iPhone Basics

The Dragon Dictation app is available for the iPhone, iPad and iPod Touch. Nuance, the maker of Dragon, also offers a BlackBerry app called Dragon for E-mail and Flex T9, an Android app. (I have not tested the Android and BlackBerry apps.)
The Dragon Dictation app is offered in several languages, including U.S. English, U.K. English, European Spanish, Latin American Spanish, European and Canadian versions of French, German, Italian, Chinese, Japanese and Korean. Once you’ve downloaded the app, simply tap the Settings icon, which is found in the lower right corner of the first screen, and choose your preferred language. (My trial was in U.S. English, and the punctuation table is based on the U.S. English version.)
As the screenshots show, once the Dragon Dictation app is opened, the first screen that appears is the Tap and Dictate screen. Press the red button to start recording.

Dragon dictate recording for iPhoneThe app processes the information, after which a screen appears with dictated text. In my experiments I found the accuracy quite good. The most difficult words were proper names. Although Dragon was able to handle the name Enrique with no problem, Ryan was converted to Brian.
But making corrections was easy – and still much faster than typing an entire message on my iPhone. In the bottom left corner of the screen is a small keyboard. When you tap on the keyboard icon, the keyboard comes up, allowing you to make changes or corrections. Once you’re satisfied, press the keyboard icon again, and the keyboard disappears.
Dragon dictation keyboardThe toolbar provides a number of options once you’re ready to transmit your message. Simply press the icon in the lower right corner to bring up the toolbar.
Dragon dictate toolbarThe toolbar is a nifty feature of Dragon Dictation 2.0. If you want to send a text, press the text icon, and the app will access your contacts. When you begin typing the name of the person you want to text, Dragon will automatically give you a menu of selections. (The same is true for email.) The toolbar allows you to post status updates in Twitter and Facebook. And the copy feature is good for many purposes – I used it to copy text and place it in my Evernote mobile app. It worked perfectly for me.

How to Dictate Punctuation Marks in Dragon Dictation for iPhone

In my experiments, I learned that the failsafe way to incorporate punctuation marks into the text is to use voice commands during dictation.
For example, if I wanted a sentence that looked like this:
Henry, thanks for contacting me about the deposition. How does next Tuesday at 10 a.m. work for you?
I would say this:
Henry comma thanks for contacting me about the deposition period. How does next Tuesday at 10 a.m. work for you question mark
Perhaps the trickiest command was that for quotations marks. To insert a quote, I found, I needed to pause briefly between saying the command “open quote” and beginning the first word of the sentence. The same was true for closing the quote. The command was “close quote,” followed by a pause before I started the next sentence.
Here’s a chart of punctuation marks and their verbal commands:

 For a new paragraph, just say, “New paragraph.”

How to Dictate Longer Texts and Resume Dictating an Open Note

If you’re like me, you sometimes need to pause while you dictate to gather your thoughts and formulate your next sentence or paragraph. You may also want to review what you’ve already said to determine whether you need to add anything.
Dragon Dictation makes reviewing dictated text and adding new text to the same note easy.
Dictate your initial text and press Done. Once the text has been processed and appears on the screen, the red Record button will still be visible at the bottom center of the screen.

Portable power strip with USB outlets, iPhone credit card case receive rave reviews

Last week I spoke at the Missouri Bar’s Solo and Small Firm Conference about how to use social media sites such as LinkedIn, Facebook and Twitter to improve your website’s visibility and search engine performance. The conference, which I’ve attended in previous years, has always drawn a big crowd, but this year’s conference was a record-setter, with 1,060 attendees.
After my presentation on Thursday I stayed for the remainder of the three-day event, attending seminars, tweeting nuggets of useful information in real time to lawyers and other legal industry professionals and learning about technology that lawyers are leveraging to make their practices more productive. I came away with a notebook full of tips to share.
One of the sessions I attended was the Smart Phone Shootout, which featured a debate by speakers Spencer Farris, Paul Henry and Andrew Lyskowski on the merits of Android, iPhone and BlackBerry. That session sparked a lively simultaneous discussion on Twitter about Android for lawyers. In addition to weighing the pros and cons of the different types of mobile phones, the speakers mentioned several gadgets for your gadgets – technology that makes the life of a lawyer on the go easier.
This week, Lawyer Tech Review highlights two of these useful gadgets: a portable power strip charger and iPhone credit card carrying case.

Portable Power Strip Charger with USB Outlets

For St. Louis lawyer Paul Henry, a portable charger with three AC outlets and two USB outlets is indispensable. It allows him to charge multiple devices at once, and in airports he can share the charging station with other gadget-loving travelers, who often must vie for a limited number of outlets.
In the United States, Amazon.com sells the Belkin Mini Surge Protector Dual USB Charger. The list price is $21.99, but it was selling for $10.88. (Clickable affiliate link) This charger features a plug that can rotate 360 degrees and has four locking positions. It provides complete surge protection to all of the outlets.

iPhone Credit Card Carrying Case

Spencer Farris, a St. Louis lawyer who has reviewed iPad apps previously for Lawyer Tech Review, uses an iPhone case that accommodates credit cards or a driver’s license, allowing him to leave his wallet at home.
There are several iPhone carrying cases on the market, made by various companies, for the iPhone 3, iPhone 3G and iPhone 4. One big seller on Amazon.com is the Case-Mate ID Credit Card Slim Case. The list price is $34.99, but was selling for $23.23. (Clickable affiliate link) The case holds two cards; some reviewers note that it’s a tight fit, and others say they wish there was room for additional cards.
A roomier option is the Speck SPK-A0332 CandyShell Card Phone Case for iPhone 4. The case, which has room for three cards, lists for $31.58. However, it was selling for $26.07 in the United States. (Clickable affiliate link)

iPhone versus android

Smartphones are all the rage in the mobile phone market boasting an ever-increasing market share. Though it’s tough to say specifically how they differ from traditional phones they can be best thought of as mini computers that boast phone connectivity. This enables such devices to access the World Wide Web, send email, play games and if they have the appropriate hardware take and edit pictures and video.
According to an Olswang report in early 2011, the rate of Smartphone adoption is accelerating: as of March 2011 22% of UK consumers had a Smartphone, with this percentage rising to 31% amongst 24- to 35-year-olds.

The battle between Apples iPhone product and Google’s Android is a clash of the titans of epic proportions, as wildly different aesthetic principles, design methodologies and underlying technologies go head to head in an attempt to win over the hearts and minds of the Smartphone user. Whereas iPhones iOS (Operating System) is available only on Apple devices Google’s Android is an open source product that since 2008 has been available on phones from a wide range of manufacturers. Google arrived late to market and has struggled to regain market share but continue to innovate. Uniquely the Blackberry maintains a large market share in the UK, coming in 2nd. This phone is far more likely to be used as a business tool than an all-round Smart Phone and users are far less likely to extend its capabilities by installing apps.
Since its 2007 debut, 500,000 applications have generated $3 billion for developers. (Android’s 400,000 apps have earned around $100 million.).

Apple’s take on the Smart Phone concept does it’s best to hide the technology and the phones operating system from the user. Apple provides strict guidelines within which application developers must create their products. The aim is to create a unified user experience and as this operating system extends to Apples iPads and even Apple’s laptop computers, users get to work within a familiar environment all day long. Recent innovations such as the iCloud can seamlessly share email, contacts, games, video and images between devices. Apple’s aim is become the hub of your digital life, encouraging the creation and consumption of digital media via their range of devices.
Android operates on a bewildering array of devices, each featuring differing hardware; it’s important to check your phone of choice can run the apps you require. Android phones are far more customisable, allowing users to tweak the user interface to a larger degree and make the phone their own. Two Android phones side by side may bare only passing similarity. Developers are also given a freer reign and much more radical apps are available for this platform.
Though Android is fast closing the gap your choice between the two may simply be an economic one. While Indians are notorious for hawking their kidneys online, the Chinese have given it a tech angle. A Chinese teenager has sold his kidney to buy an iPhone and an iPad. The official Xinhua News Agency however, didn't disclose the actual models of the Apple devices purchased. Wang, a 17-year-old high school student, received $3500 (Rs 1,75,000 approx) for his spare organ. However, the faeces hit the fan, when his mother demanded to know how he had managed to buy two Apple devices.
The authorities have charged five people for causing intentional injury. This includes the surgeon, a hospital contractor, and brokers who scouted a buyer online and arranged for an operating room. Hopefully, this is the last time Wang will be selling organs for an iDevice.

T-Mobile will be iPhone ready this year (and not just for AT&T’s cast-offs)

T-Mobile made an interesting statement today in response to AT&T’s recent concession to begin unlocking out-of-contract iPhones. It invited AT&T customers to take their old iPhones to its network where they can feast upon its ultra-cheap voice and data plans.
Of course, if those customers want anything beyond slowpoke EDGE speeds they need to wait for T-Mobile to start its ambitious network overhaul, which will align its HSPA+ networks with the iPhone’s 3G frequency bands. But according to T-Mobile, that might happen sooner than you think. Here’s an excerpt from the statement, which was first reported by 9to5Mac:
… we will continue to deliver more value to customers as we expand and modernize our 4G network. Beginning this year, we will introduce HSPA+ service in our 1900 MHz PCS spectrum. When we do, our 4G network will be compatible with a broader range of devices, including the iPhone.
That’s good news for iPhone owners looking for a new network, but the news gets even better. What T-Mobile didn’t say in its statement is that once its network retooling is complete it won’t just be activating AT&T’s old iPhone cast offs, it will be selling brand spanking new iPhones.

Why T-Mo is important to Apple

As we’ve pointed out on numerous occasions, T-Mobile’s lack of iPhone love from Apple isn’t a deliberate snub. Rather, the issues are incompatible technologies and cold hard economics. Apple will give the iPhone to any carrier with a compatible network willing to pony up the dough. Tim Cook isn’t stupid. T-Mobile has more than 33 million customers. For Apple to not want to do business with T-Mobile would be like saying it doesn’t want to sell iPhones to Canadians. Once the network frequency barrier is removed, Apple will jump at the chance to get the iconic device in T-Mobile’s hands.
By the time T-Mobile completes its network overhaul in 2013, its networks won’t just be in perfect harmony with current iPhone. It will be able to handle any new version as well, including the new LTE iPhone expected to emerge this fall. It’s just a question of timing. To build LTE, T-Mo needs to first shut down a good deal of its GSM network at PCS, filling in the holes with new HSPA+ networks. That first step is what T-Mobile is getting at when it says its network will be iPhone compatible this year. The big question is whether its whole footprint will get converted this year or only segments of it.
The next step is shutting down portions of its HSPA+ network in the Advanced Wireless Services (AWS) , or 1700/2100 MHz, band and then building LTE in its place. Once that final step is complete, T-Mobile’s network will look just like AT&T’s to any Apple gadget.
T-Mobile will probably miss out on the biggest benefits of the coming 4G iPhone launch as its LTE network won’t be ready. But if it has enough of its HSPA+ network built out at PCS at the time, it could easily sell the 4G smartphone as an HSPA+ device. There’s plenty of precedent: Apple is selling the new 4G iPad internationally even though it doesn’t support a single LTE network outside of the U.S. or Canada. At the very least, Apple would make the iPhone 4 and 4S available to T-Mobile.

T-Mobile makes bank either way

T-Mobile can’t really lose once its new networks come online. Even without 3G support, T-Mobile admits to hosting more than 1 million unlocked iPhones on its network (though I suspect most of them are hacked, not officially unlocked).
Once HSPA+ is available, plenty more AT&T customers may be lured over to T-Mo by its cheaper data plans, and those that aren’t tempted could sell their newly unlocked iPhones to customers that are. T-Mobile is the only major operator that offers lower monthly rates to customers who bring their own devices rather than opt for subsidized phones. And those savings are considerable: $10 for 2 GB compared to $20 for just 300 MB from AT&T.
And when T-Mobile does become an official iPhone seller it can compound its gains. It would subsidize new iPhones and charge premium “classic” rates for voice and data, but those rates still undercut those of the two big operators. Sprint’s unlimited plans would be its major competition. Basically T-Mobile has the opportunity here to become not only the fourth nationwide purveyor of Apple smartphones, but also the destination carrier for iPhones on their second life.

Next iPhone to have the most significant upgrade yet, claims analyst

It may be months before Apple's latest iPhone is officially unveiled, but that isn't proving to be a deterrent and rumour mills have been abuzz. Yesterday, it was reported that a Foxconn employee had revealed that the next iPhone would be launching in October and not June during the WWDC event, rebutting the revelation made by another employee from Foxconn. Later on a report had surfaced that Apple was testing prototypes of the iPhone with a variant of the A5X chipset. The brand had given out iPhone 4 units to be tested with the updated chip, as they did not want the design of the handset to be leaked before the official announcement. The latest bit of information regarding the upcoming flagship smartphone from Apple comes courtesy of Brian White, an analyst at Topeka Capital Markets.

According to a report by Business Insider, White was on a tour of tech suppliers in China and Taiwan and he states, “The buzz around the new iPhone 5 is growing in Asia and speculation around the timing of the launch has begun. In our view, this will be the most significant iPhone upgrade with a four-inch screen and a new, sleek look that we believe will require a unibody case.” He goes on to state that since it will feature a sleek design; this will be the primary reason why it would upgrade to it. Being LTE capable will add to the interest of potential consumers making them opt for this handset. He states, “We believe the iPhone 5 ramp for the December quarter could be extraordinary, dwarfing previous launches and driving the stock closer to our $1,001 price target.”

As for when the production will begin, White reckons that certain components will start getting produced by June. However, he clarifies that the handset may not be unveiled this month or even in July. As for when the sixth generation iPhone will be launched, White states, “In our view, a August/September launch may make more sense given the iPhone 4S was just launched in October 2011.” This is by far the maximum information we've got on the iPhone, till date. As the day draws closer to the speculated launch of the iPhone 5, rumours are aplenty about the specifics and details regarding this device. To start off, a research analyst from Topeka Capital Markets, Brian White, who had met up with the component suppliers in China, has said that the new phone will come with a 4" display and "sleek look that we believe will require a unibody case". This has given rise to the possibility that the new gadget will probably go the MacBook way with a unibody design carved out of a single block of aluminium. Another report has also pointed to the redesign possibility where it states that the "…actual next-generation iPhone is specifically said to not include the iPhone 4/4S design, but Apple is testing these new devices in older casings to throw off leaks".
The report also states that the device is expected to have 4G (most likely LTE) connectivity. It does make sense as its competitor, if we may say so, the recently launched Nokia Lumia 900 already has this capability. It will also reportedly come with 1 GB RAM and will be powered by the same A5X SoC as used in the new iPad, thus giving better battery backup than its predecessor; at least theoretically.
